MissFit Coaching Privacy Policy

Effective 16 August 2026

MissFit Coaching is operated by Dee Dee Holdings LLC, an Illinois limited liability company doing business as MissFit Coaching and MissFitMindset.ai ("MissFit," "we," "us"). This policy explains what information we collect, why, who can see it, how long we keep it, and the choices you have. It is written to be read, not skimmed past.

This policy covers MissFit Coaching only. It does not apply to any other business, website, or service.

Who this policy covers

Prospects — you booked a consultation or discovery call, whether or not you ever become a client.

Clients — you signed a Client Engagement Agreement. Your agreement contains binding commitments on data handling; if this policy and your agreement ever differ, your agreement controls.

Visitors — you're just reading our website or having conversations with us.

What we collect

When you book a call: your name, email, phone number, LinkedIn URL, time zone, and your answers to booking questions — including your consent choice about recording.

When you become a client: career documents (resumes, cover letters, strategy documents); professional and compensation information (work history, target and current salary); LinkedIn profile and connections data; the contents of your dedicated job-search email account, which you own and forward to us; and recordings and transcripts of coaching sessions, described below.

From our website: our scheduling and hosting providers may set functional cookies needed to operate their tools.

Recording and transcription — the full picture

Coaching sessions and consultations are recorded and transcribed so your coach can be fully present with you rather than taking notes, prepare accurate follow-up and career documents, support internal quality review, and maintain business records.

Sessions run on Google Meet. Transcripts are produced by Google Meet's built-in transcript feature, which labels speakers using participant account information.

No outside AI notetaker joins our sessions. We do not use third-party notetaking bots or services.

Any analysis we perform is performed on the written transcript, not on the audio.

You may decline recording — entirely, or for any single session — by telling us before the session starts. We take written notes instead. Declining changes nothing about your services. Your choice is logged and carries forward if a session is rescheduled.

How we use your information

We use your information solely to deliver coaching services — to run and support your job search. That includes preparing your strategy and documents, tracking your search activity, and coordinating sessions.

What we will not do without separate written permission from you:

Use your information, session content, or search outcomes for published research, case studies, market insights, conference presentations, analyst briefings, or marketing.

Use your name, story, or likeness as a testimonial.

Include anything from your engagement in any dataset provided to anyone.

Those uses happen only if you sign a separate, optional consent form — and declining it never affects your coaching. Silence is never treated as permission.

Who can see your information

MissFit team members who need access to deliver your services, all bound by written confidentiality obligations.

Service providers we use to deliver the work — cloud storage and document platforms, scheduling tools, and AI-assisted research and analysis tools — which receive only what the work requires.

We do not sell your personal information. We do not share it with anyone for their marketing.

Other people's information. Recruiter and employer replies in your search inbox contain other people's words and details. We treat that content as confidential, use it only to deliver your services, and never include it in any research.

How long we keep it

Booking information (prospects who don't become clients): 2 years from booking, then deleted.

Consultation recordings (prospects who don't become clients): 2 years from the session, then permanently deleted.

Audio-video session recordings (clients): 24 months from the session, or the end of your engagement, whichever is later, then permanently deleted.

Session transcripts: 4 years from the end of your engagement, then deleted, or de-identified under our research consent process where that can genuinely be done.

Career documents and work product: 4 years from the end of your engagement, then permanently deleted.

Forwarded job-search email copies: 30 days after your engagement ends or you stop forwarding, then permanently deleted.

De-identified research records, only if you separately consented: kept indefinitely, in a form that does not identify you.

Consent records: 7 years from signature, kept as proof of the permission you gave.

Records under a legal hold or that the law requires us to keep are retained for the required period. Deletion removes records from active systems; residual copies in routine, access-restricted backups are purged on the normal backup cycle.

Your choices and rights

Email dee@missfitcoaching.com to:

Get a copy of the personal information we hold about you.

Correct anything inaccurate.

Delete your information — we act on deletion requests promptly, typically within 30 days for active systems, except records we must keep by law.

Decline or stop recording at any time.

Withdraw any research or testimonial consent you previously gave.

Two honest limits. Deletion cannot reach information that has already been de-identified, because nothing in it links back to you for us to find. And research findings already published cannot be recalled, though we will not republish them with your information included.

If MissFit is ever sold

If you are a client, your identifiable information does not move quietly. You get written notice at least 30 days before any transfer, naming the successor and confirming in writing that it has assumed every commitment in this policy and your agreement. If you object, your identifiable information is deleted rather than transferred. If you don't, your records transfer with all of your rights intact and exercisable against the successor. A successor never acquires more permission than you gave us.

If you are a prospect who never became a client, your booking information and any consultation recording are deleted rather than transferred — they are never part of any sale.

Security and breach notice

We maintain reasonable administrative and technical safeguards, limit access to those who need it, and dispose of records on the schedule above. If a data breach affects your personal information, we will notify you and any required authorities without unreasonable delay, consistent with the Illinois Personal Information Protection Act (815 ILCS 530/).

Children

Our services are for working professionals. We do not knowingly collect information from anyone under 18.

Changes to this policy

If we materially change this policy, we will post the updated version here with a new effective date and make reasonable efforts to notify active clients. We will not reduce protections for information already collected without your consent.
